Your information matters to us. This Privacy Policy explains what QwikVid collects when you use our websites, accounts, ordering tools, real estate media services, hosted property experiences, support resources, and career or contractor application pages (collectively, the "Services"). It also explains why we use information, when we disclose it, and the choices available to you.
This Policy applies to information QwikVid controls. A third-party service you choose to use may have its own privacy policy.
1. Information we collect
The information we collect depends on how you use QwikVid and may include:
- Account and contact information: name, email address, phone number, company, title, account number, sign-in credentials, profile image, mailing or business address, and communication preferences.
- Order and property information: service selections, filming location, unit information, schedule, listing details, access and special instructions, customer rate information, assigned team members, status, feedback, and support history.
- Media and files: photos, videos, logos, music, flyers, floor plans, documents, descriptions, and other material uploaded to or created through the Services.
- Transactions: purchased services, amounts, payment status, refunds, transaction identifiers, billing country and postal code, and limited card details described below.
- Technical and activity information: IP address, browser and device information, cookies or similar identifiers, sign-in and last-seen activity, and interactions with our websites and Services.
- Application information: information submitted for employment or independent-contractor opportunities, such as experience, skills, equipment, portfolio links, location, uploaded documents, and verification details requested for the role.
2. Where information comes from
We receive information directly from you; from a business, account administrator, or QwikVid team member placing or managing an order for you; from devices and browsers used with the Services; from photographers, videographers, and other people working on an order; from service providers that help us operate QwikVid; and from public sources when needed to verify or complete listing and business information.
3. How we use information
We use information to:
- create and secure accounts and connect users with the correct customer account;
- quote, schedule, assign, produce, edit, deliver, host, and support orders;
- process payments, refunds, technician settlements, and account records;
- communicate about orders, service changes, support, security, billing, and account activity;
- operate property websites, virtual tours, downloads, media links, and other features selected by a customer;
- review employment and contractor applications;
- prevent fraud, misuse, security incidents, and technical problems;
- understand and improve the Services, subject to available privacy choices; and
- comply with law, resolve disputes, and enforce our agreements.
4. How we disclose information
We disclose information only as reasonably needed for the purposes described in this Policy, including to:
- QwikVid personnel and production teams: employees, photographers, videographers, editors, and contractors who need order details to perform their work.
- Service providers: companies supporting payments, hosting, storage, media delivery, email and communications, mapping and address completion, analytics, domain services, security, and technical operations.
- Customers and authorized account users: people connected to an account or order, consistent with their roles and permissions.
- Legal and safety recipients: authorities, advisors, or affected parties when we reasonably believe disclosure is required by law or needed to protect rights, safety, property, users, or the Services.
- Business transaction recipients: parties involved in a merger, financing, acquisition, reorganization, or sale of assets, subject to appropriate confidentiality and legal requirements.
QwikVid does not sell personal information for money. If we use technology that applicable privacy law treats as a sale or sharing, we will provide the notice and choices that law requires.
5. Payment information
Card payments are processed by Stripe. Full card numbers and card security codes are sent to the payment processor and are not stored by QwikVid. QwikVid keeps transaction records needed to confirm and support a payment, which may include the processor's transaction or charge identifier, amount, status, the card's last four digits, billing country and postal code, and IP address.
7. Media and public property experiences
Customers may choose to publish property websites, virtual tours, listing pages, media downloads, or shareable links. Information and media placed in those experiences may be public or available to anyone with the link. Public listing content can be copied or indexed outside QwikVid's control. Customers should keep lockbox codes, alarm details, private contact information, and other sensitive instructions out of public-facing fields.
8. Retention and security
We retain information for as long as reasonably needed to provide and support the Services, maintain customer and transaction records, preserve delivered media, comply with legal and accounting obligations, resolve disputes, prevent abuse, and enforce agreements. Retention varies by the type of information and the reason it was collected. When information is no longer required, we take reasonable steps to delete it or de-identify it.
We use administrative, technical, and physical safeguards designed to protect information. No system or transmission method is completely secure, so we cannot guarantee absolute security. If you believe your account or information may be at risk, contact us promptly.
9. Your choices and privacy rights
You can review or update many account details through your profile. You may also contact us to ask for access to, correction of, deletion of, or a copy of personal information, or to object to certain uses. Available rights depend on where you live and may be limited by legal exceptions, active orders, transaction-record requirements, security needs, or the rights of other people. We may verify your identity and authority before completing a request.
You can opt out of non-essential promotional email using the unsubscribe option in the message or by contacting us. We may still send service, security, billing, and order communications that are necessary for your account or transaction.
10. California privacy rights
Where the California Consumer Privacy Act applies, California residents may have the right to know and access personal information, request deletion, request correction, opt out of the sale or sharing of personal information, limit certain uses of sensitive personal information, and receive equal service and pricing for exercising privacy rights. These rights are subject to definitions, exceptions, and verification requirements under California law.
You or an authorized agent may submit a request through our contact page or by calling 800.971.3206. We will not discriminate against you for exercising an applicable privacy right.
11. Children's privacy
The Services are intended for adults and businesses and are not directed to children under 13. We do not knowingly collect personal information from children under 13 through the Services. If you believe a child has provided personal information, contact us so we can investigate and take appropriate action.
12. Updates and contact
We may update this Privacy Policy when our Services, practices, or legal obligations change. We will post the updated Policy and revise the date above. When legally required, we will provide additional notice.
